This Refund & Cancellation Policy explains the terms related to appointment cancellations, payments, refunds, and other healthcare service charges. By booking an appointment or making a payment through our hospital or website, you agree to the terms mentioned below.

Appointment Cancellation Policy

Patients who wish to cancel or reschedule their appointment are requested to inform the hospital as early as possible. Appointment cancellations can be made through phone, email, or any official communication channel provided by Neelam Hospital.

For OPD appointments, cancellation or rescheduling requests should be made at least 4 hours prior to the scheduled appointment time. Cancellation requests received less than 4 hours before the appointment may not be eligible for refund consideration and may be treated as a missed appointment, subject to hospital policies.

For surgeries, procedures, and room bookings, patients are required to provide a minimum of 24 hours prior notice for cancellation or rescheduling. Cancellation requests received less than 24 hours before the scheduled surgery, procedure, or room booking may not qualify for a refund of advance payments or booking charges, depending on the nature of the service and preparation costs already incurred by the hospital.

Patients are allowed a grace period of 15 minutes from their scheduled appointment time. In case a patient arrives later than the permitted window period, the appointment may be rescheduled based on doctor availability and hospital scheduling policies.

Neelam Hospital reserves the right to cancel or reschedule appointments due to doctor unavailability, medical emergencies, technical issues, or unforeseen circumstances. In such cases, patients will be informed appropriately, and alternative arrangements will be provided whenever possible.

Refund Policy

Refunds, if applicable, will be processed only after proper verification and approval by the OPD Manager. Refund eligibility depends on the type of healthcare service, consultation, diagnostic test, treatment, or procedure booked.

Consultation fees for completed doctor consultations are generally non-refundable. Charges for diagnostic tests, medical procedures, room bookings, or other hospital services may also become non-refundable once the service has been provided or initiated.

If a payment is deducted due to technical failure, duplicate transaction, unsuccessful booking, or any payment-related error, the hospital will review the issue and process the eligible refund accordingly.

Refund requests must be submitted through the appropriate hospital channel for review. All refund requests will first be verified by the concerned OPD Incharge, who will confirm the appointment details, payment status, and service records through the Hospital Information System (HIS). Upon successful verification and approval, the refund request will be processed further as per hospital policies.

Approved refunds are usually processed through the original payment method within a reasonable period, depending on banking institutions, payment gateway providers, and financial processing timelines.

Advance Payments & Booking Charges

Certain medical services, procedures, surgeries, or room bookings may require advance payment confirmation. In such cases, refund eligibility for advance payments will depend on the cancellation timing, hospital policies, and preparation costs already incurred by the hospital.

Administrative, processing, or transaction charges may be deducted where applicable. Advance payments made for surgeries, procedures, or room bookings may be subject to partial or full deductions depending on the stage of preparation and cancellation timeline.

Non-Refundable Situations

Refunds may not be applicable under the following situations:

  • Completed doctor consultations
  • Services already availed by the patient
  • Missed appointments without prior notice
  • OPD appointment cancellations made less than 4 hours before the scheduled appointment time
  • Surgery, procedure, or room booking cancellations made less than 24 hours before the scheduled booking time
  • Delay caused by patient-side issues
  • Partial usage of healthcare packages or services
  • Failure to follow hospital instructions or policies
  • Medical services that have already been initiated, scheduled, or prepared specifically for the patient

Changes to Appointments & Services

Neelam Hospital reserves the right to modify, postpone, reschedule, or discontinue any healthcare service, doctor schedule, or appointment timing without prior notice due to operational, medical, administrative, or emergency reasons. In such situations, suitable alternatives, rescheduling options, or refund considerations may be provided wherever applicable and feasible.
